INTRASTAT arrivals · Austria

Automated INTRASTAT arrivals declarations – with evidence for every figure.

What do you declare when the invoice doesn't say? We read your supplier invoices, find the commodity code, country of origin and weight – and show where every value comes from.

The problem

Why INTRASTAT takes more work than it should

If your company in Austria buys goods from other EU countries above the threshold, you report to Statistics Austria every month which goods arrived, how much they weigh and where they were made. That requires the details of every single invoice line.

Everyone calls it something else.

The supplier has its own article number, your ERP has another.

Shipped from ≠ made in.

It comes from Germany but was produced in Asia. What gets reported is the country of origin.

The invoice is silent.

Weight and commodity code are often missing. Then it's searching, looking up, typing in.

How it works

Four steps, the same every month

  1. 01

    Read the invoices.

The AI reads every supplier invoice – including scanned ones – and extracts the individual line items.

  2. 02

    Find the article.

Each line is matched to the right article in your ERP, even if the supplier calls it something else.

  3. 03

    Fill the gaps.

Missing details come first from your master data and supplier catalogues. Only if nothing is there does the AI suggest something – checked and justified.

  4. 04

    A human reviews, declaration done.

Only uncertain cases end up with you. The system remembers every decision for the months ahead.

The added value

Your ERP gets more complete every month.

Everything we establish with evidence for the declaration goes back: as a ready-made import file for your ERP. Existing articles get missing details, new articles go into a separate file. The import file only contains values with a source – no estimates.

On top, you get two lists: corrections, where the invoice or catalogue contradicts your ERP, each with a reason. And suggestions for estimates and AI suggestions, kept separate, so you decide yourself whether to adopt them.

This helps not only the statistics but also purchasing, customs and logistics – and every month, less is left open.

Every figure shows where it comes from.

Click a highlighted spot on the invoice or a value in the declaration. You see right away where each detail comes from – the invoice, your ERP, the supplier catalogue, the AI or a marked estimate.

Source ranking

Evidence first. AI only at the end.

Every value in the declaration carries its source: invoice, master data, supplier catalogue, AI suggestion, estimate or fallback value. Estimates and fallback values are always marked. So every figure stays explainable – even if someone asks two years from now.

  1. 1A human decision (always takes precedence)
  2. 2Stated on the invoice
  3. 3In master data or the supplier catalogue
  4. 4AI suggestion (for review)
  5. 5Estimate (only if nothing else works, always marked)
  6. 6Fallback: country of dispatch instead of country of origin (only if no source names one, always marked)
Security

Your data stays in the EU.

EU only.

Processing in Frankfurt, in a dedicated, isolated account just for you – no database shared with other customers. The AI doesn't leave the EU either.

No open access.

There are no publicly reachable servers. Processing only runs when a declaration is being prepared.

Nothing is overwritten.

Every declaration and every change remains traceable permanently.

Gets better every month.

Once something is clarified, nobody has to clarify it again.

FAQ

FAQ: INTRASTAT arrivals declarations

What is INTRASTAT?

INTRASTAT is the monthly statistic on trade in goods between EU member states. In Austria it is collected by Statistics Austria. Among other things, the commodity code, country of origin and net mass of the goods are reported – for arrivals, that means your purchases from other EU countries.

Who has to report INTRASTAT?

Companies in Austria whose purchases or deliveries of goods within the EU exceed the annual reporting threshold for the respective flow (arrivals or dispatches). Statistics Austria publishes the current values.

Does this also cover dispatches?

Currently we automate the declaration of arrivals, i.e. your purchases from other EU countries. Dispatches are planned – talk to us if you need both.

Where does the commodity code come from if it's not on the invoice?

If the invoice states the customs tariff number, it is taken over and checked against the Combined Nomenclature. Otherwise it comes from your master data or the supplier catalogue – found via the supplier's article number. Only if no source names a commodity code does the AI suggest one, justified and marked for review.

Which ERP does it work with?

We work with exports from your ERP (e.g. Excel) and deliver an import file in a format your ERP understands. It is already in use with Microsoft Dynamics NAV; other systems (e.g. Business Central, SAP Business One) we connect via their export and import.

Do we need new software?

No. You provide invoices and master data, you get back the finished declaration and a review list.

Who is responsible for the declaration?

The reporting obligation stays with you. We prepare everything so that you can trace every figure and submit it with confidence.

What does it cost?

It depends on the number of invoices per month. After the trial month you get a fixed quote.
